How Do I Set Up Student and Guardian Data? (V2)

Learn how to configure Student Information System service to incoporated student data integrations and access guardian information to support your library community.

1. Access OnShelf as an Administrator

Administrator access is required to connect and sync your Student Information System.  If you are not seeing the following items in your access, please reach out to your Bookmarked Representative for further support, or support@bookmarked.com.


 

2. Navigating to the Admin Page

Click Admin in the top navigation bar to access your student data integration options.


 

3. Navigating to the SIS Integration section

Click SIS Integration in the available tabs in the Admin page.  


 

4. Understanding Your Integration Options

OnShelf offers two methods for bringing student data into the system:

Option A: ClassLink Integration

  • Provides automatic data synchronization with your Student Information System
  • Real-time updates — no manual uploads required
  • Ideal for districts that already use ClassLink

Option B: SFTP Upload

  • Full control over when and how data is imported
  • Upload OneRoster CSV files manually
  • Batch upload support and audit logs for tracking changes
Tip: Not sure which option is right? Check with your IT administrator to determine which method works best with your existing systems.

5. Review your Student Data Integration Health

Review real-time status of your Student Data Integration Health by viewing the

  • SFTP Connection Status - review the latest sync, including date, time, and any errors from the last sync for SFTP connections

  • ClassLink Sync Status - review the latest sync, including date, time, and any errors the latest sync for ClassLink Rostering.


6. Parent Invitation Features

Once students are synced via ClassLink or SFTP, guardian information becomes available for outreach and notifications. The more complete your student data, the better your ability to engage families through the platform.

 

 Why invite guardians? Giving parents access to the portal isn't just about transparency — it's about trust. When guardians can see what their children are reading and set their own preferences, it reduces surprise challenges and fosters a partnership between the home and the library.
